How to Import and Map Contacts in Your CRM

This guide will help you import a list of contacts into your CRM, map the necessary fields correctly, and ensure that the contacts are properly organized and added to a relevant workflow or campaign.


Phase 1: Login to CRM and Import Contacts

  1. Login to Your CRM:

    • Begin by logging into your CRM system.

  2. Navigate to Contacts:

    • Go to the Menu and select Contacts.

  3. Import Contacts:

    • Click on Import Contacts.

    • Upload the CSV File - Final that contains your cleaned and verified contact data.

    • Click Next to proceed.


Phase 2: Mapping Fields

  1. Map the Fields:

    • Align the fields in your CSV file with the corresponding fields in your CRM:

      • Address -> Address

      • City -> City

      • State -> State

      • County -> Tags

      • Zip -> Postal Code

      • MLS Agent Name -> Name

      • PHONE_NUMBER -> Phone

      • PHONE_LINE_TYPE -> Phone Type TEXT

      • MLS Agent E-Mail -> Email

      • MLS Amount -> Asking Price

      • Loan 1 Balance -> Remaining Principal

      • Loan 1 Type -> Loan Type

      • Loan 1 Rate -> Loan Rate

      • Est. Value -> Est. ARV

  2. Handle Unmatched Columns:

    • Check the box for Don't import data in unmatched columns to ensure only the necessary data is imported.

  3. Proceed to Import:

    • Click Next to continue the import process.

  4. Name Your Import:

    • Enter a name for the import, such as "Pasco County - Low Equity."

  5. Create a Contact List:

    • Check the box for Create a list of contacts from the import to organize the imported contacts.

  6. Advanced Import Settings:

    • Expand the Advanced dropdown menu.

    • Select Add New and Update Existing Contact Records to ensure that new contacts are added and existing ones are updated.

    • Choose Email as the unique identifier for matching contacts.

  7. Apply Tags:

    • Add tags to the imported contacts for better organization, such as:

      • low equity list

      • state (e.g., FL)

  8. Add Contacts to Workflow/Campaign:

    • Select the appropriate workflow or campaign for the new contacts:

      • Workflow: 1. New Leads - Low Equity Campaign


Phase 3: Finalize Import

  1. Confirm Compliance:

    • Before submitting, confirm that all contacts in the import have consented to receive communications:

      • "I confirm all contacts in this import have consented to hear from us. I've previously contacted them within the past year, and this list is not from a third party."

  2. Submit the Import:

    • Click Submit to complete the import process.
