How to Verify and Cleanse Contact Data for Real Estate Leads
This guide will help you verify and cleanse phone numbers and emails for real estate leads using various online tools and data sources. The process is divided into five phases: finding missing contact information, email verification, phone verification, filtering new data, and finalizing the clean data.
Phase 1: Find Remaining Phone Numbers & Emails
Open Spreadsheet:
Start by opening the spreadsheet containing the property data.
Sort Data:
Sort by empty phone numbers to identify properties with missing phone details.
Sort by empty emails to identify properties with missing email addresses.
If a property is no longer listed, delete the row from the spreadsheet.
Search for Data:
Search the property address on Google (e.g., Zillow).
Find the MLS listed agent's name and brokerage.
Confirm the phone numbers and emails associated with the listing.
Update the spreadsheet with any new phone numbers and emails you find.
Phase 2: Email Verification
Login to Bulk Email Checker:
Navigate to bulkemailchecker.com and log in.
If you do not have sufficient credits, purchase them.
Prepare the CSV File:
Download the spreadsheet as a CSV file.
Upload and Verify Emails:
Go to the Bulk Verify section.
On the far right, choose a name for the label (e.g., "Pasco County - Low Equity").
Upload the CSV file you downloaded.
Select the option: "This file contains multiple columns of data in a CSV spreadsheet."
Click Upload and wait for the import to complete.
Select the Email Column:
Select the column labeled "MLS Agent Email."
Wait for the verification process to complete.
Pay for the email validation service.
Once the process is complete, export the results as a spreadsheet.
Update Your Data:
Insert the file into the appropriate county folder.
Open the file in Google Sheets.
Return to the original data file.
Insert a column after the emails and copy the status column from the verified email CSV file into the original file.
Phase 3: Phone Verification
Login to Phone Validator:
Go to phonevalidator.com and log in.
Navigate to the Batch section in the top menu.
Prepare the Data:
Add a new spreadsheet tab labeled "Unverified Numbers."
Copy the "MLS Agent Phone Number" column to the "Unverified Numbers" tab.
Download this tab as a CSV file.
Upload and Verify Phone Numbers:
Upload the CSV file to Phone Validator's Batch section.
Submit the batch with the option "Line Type Basic."
Continue the process and pay for the service.
Wait for the verification to complete.
Update Your Data:
Once verification is completed, download the file.
Insert the file into the appropriate county folder.
Open the file in Google Sheets.
Return to the original data file.
Insert a column after the phone numbers and copy the first two columns from the new verified CSV file into the existing "Phone Number" column.
Phase 4: Filtering New Data
Create a Filter:
Go to the main data file.
Select Row 1 and navigate to Menu > Data > Create a Filter.
Filter Emails:
Sort the "Email Status" column and unselect "Passed."
Create a new tab labeled "Bad Emails."
Copy the selected rows from the original to this new tab.
Delete the selected rows from the original tab and unfilter the status.
Filter Phone Numbers:
Sort the "Phone Line Type" and unselect "Cell Phone."
Create a new tab labeled "Bad Phones."
Copy the selected rows from the original to this new tab.
Delete the selected rows from the original tab and unfilter the phone line type.
Phase 5: Finalizing the Clean Data
Download the Final Version:
Once the data is clean, download the CSV as the final version and rename it appropriately.
Upload the Final File:
Upload the final CSV file into the appropriate county folder.
